Coreloops Platform Update – October 2026

v1.26.4.1 - 10/2026
This update is mostly about timesheets. Operatives get a simpler My Timesheets screen, admins get more control over which projects and cost codes each operative can use, timesheets gain a Reviewed status, and documents generated from timesheets are more accurate. We’ve also added a dedicated CIS Statement document type, the option to raise purchase invoices against a contact, and an easier way to see which documents are left out of your cost reports.
Timesheets
A Reviewed status for timesheets – Timesheets now have a Reviewed status between Pending and Approved, so you can show that someone has checked a timesheet before it's signed off.

Set which projects and cost codes each operative can use – Admins can now choose an operative's allowed projects and cost codes from the Operatives section of Team settings. Operatives will only see those options when filling in their week, and if nothing has been set up yet, they'll see "No projects available" rather than an empty list.

Contact defaults come from their allowed lists – A contact's default project and cost code can now only be picked from the projects and cost codes they're allowed to use, and those defaults are filled in automatically on every new timesheet.

Add a note to the whole week – Operatives can now leave an optional comment on their whole timesheet, next to Submit week. Admins and approvers see it when they review the timesheet, separately from the description on each day.

A simpler day entry screen on My Timesheets – Filling in a day now takes fewer steps.
The break field has gone (breaks still come from your timesheet rules, so totals don't change),
"Job details" is now "Description" and is prefilled with the day name, and
"Done" is now "Add Project" so it's clear it adds another project to the same day.
Travel time is entered in hours and is hidden when it isn't switched on for your company.
On mobile, "Add timesheet" now sits under the My Timesheets heading, and refreshing the page keeps you on the week you were looking at.
Admins can fill in their own timesheets too – If an Admin is linked to a directory contact, they can now open My Timesheets to record their own hours, and still move back to All Timesheets without being bounced around.

Faster timesheet admin – On the Timesheets page, the Approve button has been replaced with a status change button, and the status filters now show a count next to each status. You can add the same line item (for example, Monday) to several people's timesheets in one go, and open a contact's rates straight from the three-dot menu. The "Assigned to" list on timesheets and documents now only shows team members, not operatives.

Choose a default document type for each contact – Set whether a contact's timesheets generate a CIS statement or a VAT invoice by default, so you don't have to pick each time.
See the document a timesheet created – Once a document has been generated from a timesheet, the timesheet now shows it, and the "Generate document" button becomes "View document".

CIS shown on VAT invoices from timesheets – VAT invoices generated from a timesheet now show the CIS percentage and the CIS deduction.
Documents
See and manage what's excluded from cost reports – The Documents table now shows which documents are excluded from your cost reports, and you can exclude a document manually if it shouldn't count towards your costs.

Multi-invoice PDFs are split into separate invoices – When a supplier sends a single PDF containing several invoices, Coreloops AI now recognises each one and splits it into its own document, rather than treating the whole file as one invoice. Each invoice can then be reviewed, approved and synced on its own.
Accounting & Tax Sync
CIS statements are now their own document type – CIS statements generated from timesheets are now a separate document type, rather than a variation of an invoice, and sync to your accounting software as a bill.
Raise purchase invoices against a contact – The Supplier field on a purchase invoice now also lists contacts who don't have a supplier record, which is useful for workers you pay directly. Coreloops sets up a matching supplier for you, and the invoice syncs to Xero, QuickBooks or Sage 50 as normal. If that supplier isn't in your accounting software yet, you'll be asked to sync it as a supplier first.
Bugs fixed
Fixed documents generated from a timesheet using worked hours instead of paid hours, and not picking up the timesheet's project
Fixed the "Sync Required" badge showing on documents that are still pending
Fixed invoices with a negative line, such as a retention deduction, failing to sync to Xero and QuickBooks
Fixed timesheet line items sometimes showing out-of-date rows
The rate now shows on payment application line items
